Privacy Policy

This policy explains how Flite Recorder handles personal data when you use the mobile application and associated website.

1. Who is responsible for your data

Trotta Consulting Ltd is the data controller for personal data processed through Flite Recorder. Questions or privacy requests can be sent to support@apps.trottadomenico.com.

2. Scope of this policy

Flite Recorder helps model-aircraft pilots record flights, manage clubs and aircraft, store pilot documentation, review aviation weather and export a logbook. This policy applies to the Flite Recorder app and this product website.

3. Data we collect

Depending on the features you choose, we may process:

  • Account data: email address, user identifier and authentication information required for email, Google or Apple sign-in.
  • Pilot profile: name, surname, AECI number, A1-A3 certificate reference, FAI number and configured Flight QR.
  • Uploaded content: insurance certificates, QR images, aircraft images and related file information.
  • Flight records: selected club and aircraft, start and end times, duration and the QR confirmation used to complete a recording.
  • Hangar and club data: aircraft names, type, autonomy, images, club names, addresses and other details you enter.
  • Location: approximate or precise device location when you permit it, used to show the locality and nearby aviation weather.
  • Local session data: the active aircraft, club and start time stored on your device while a flight is in progress.
  • Support communications: information you include when contacting us.

4. Camera, photos, files and location

The camera is used when you intentionally scan a QR code. Photo and file access is used when you choose an image or document to upload. Location is requested for locality and weather features.

You can refuse or withdraw these permissions in your device settings. The relevant feature may then be unavailable, but unrelated functions continue to work.

5. Active flights and iOS Live Activities

During a flight, the selected aircraft, club and start time are stored locally so the session can be restored if the app closes. On supported iPhones, aircraft, club and elapsed time may appear on the Lock Screen, Dynamic Island and in StandBy while the device is locked.

You can disable Live Activities for Flite Recorder in iOS Settings. Stopping and saving a flight always requires your configured QR code.

6. How and why we use personal data

  • Provide authentication, profiles, hangar, club and logbook functions.
  • Validate flight starts and stops and create accurate flight records.
  • Display requested weather and location-based information.
  • Store and retrieve documents you choose to upload.
  • Provide support, secure the service, prevent abuse and diagnose faults.
  • Comply with applicable legal obligations and enforce our terms.

Our legal bases include performing our contract with you, your consent for optional device permissions, our legitimate interests in operating and securing the service, and compliance with legal obligations where applicable.

7. Service providers and external services

We use providers only where needed to operate a feature:

  • Supabase: authentication, database hosting, file storage and account deletion.
  • Apple and Google: sign-in when you choose the relevant provider.
  • Google Maps Platform: address search, geocoding and locality display.
  • AviationWeather.gov: nearby METAR and TAF information requested using an area derived from location.
  • Apple App Store and Google Play: app distribution and store services.

These providers process data under their own terms and privacy notices. Data may be processed outside your country; where required, appropriate transfer safeguards are used.

8. Sharing, advertising and sale

Flite Recorder does not sell personal data and does not use personal data for behavioural advertising. We share data with service providers only as necessary to deliver the functions described above, when legally required, or in connection with a legitimate corporate transaction subject to appropriate safeguards.

9. Retention and security

Account data is retained while your account is active and for as long as reasonably necessary to provide the service, resolve disputes and meet applicable obligations. Local active-flight data is removed after the flight is successfully saved. Some limited records may be retained where law requires it.

We use reasonable technical and organisational measures, including authenticated access, access-control rules and time-limited document links. No transmission or storage system can be guaranteed completely secure.

10. Your choices and rights

Subject to applicable UK GDPR, EU GDPR or other data-protection law, you may have rights to access, correct, erase, restrict or receive a copy of your data, and to object to certain processing or withdraw consent.

You can edit profile information and manage documents inside the app. You can also request permanent account deletion from the Profile page. To make another privacy request, contact us using the address below. You may also complain to the data-protection authority relevant to your location.

11. Children

Flite Recorder is not directed to children who cannot lawfully consent to data processing in their country. A parent or guardian who believes a child has provided personal data should contact us so we can investigate and take appropriate action.

12. Changes to this policy

We may update this policy when the app, our providers or applicable requirements change. The effective date above identifies the current version. Material changes may also be communicated through the app or product website.
